Nextcloud setup

Nextcloud brings files, collaborative office work, calls and chat together in one system. It can be used at home, by a small business or by a larger organisation, with the setup shaped around the people who need it rather than around a fixed subscription package.

Nextcloud Files

Your files available where you need them

Store, organise and share files through a web browser, desktop computer or phone. Access can be arranged for individuals, teams and external contacts without handing control of the data to a large public cloud platform.

Collabora Online

A practical Microsoft 365 alternative

Open, edit and work together on documents, spreadsheets and presentations directly through Nextcloud. For common office work, Collabora Online can replace Microsoft 365 while the documents remain within the organisation's own Nextcloud environment.

Nextcloud Talk

Calls, meetings and chat in the same system

Use private chat, voice calls and video meetings alongside files and documents. Talk can give a household, team or organisation one controlled place for everyday communication and collaboration.

Photos

Send pictures to your own cloud

Pictures from a phone can be uploaded directly to Nextcloud instead of being stored in Google's cloud. They remain available across your devices while you decide where the original files and backups are kept.

Calendar

One agenda across your devices

Synchronise calendars between phones, computers and other devices. The same agenda can also be integrated into a desktop calendar or Home Assistant, so appointments remain available wherever they are useful.

Where it runs

On site or on a hosted server

Nextcloud can run on a suitable server in your own building or on a VPS in a data centre. The right choice depends on the number of users, internet connection, availability needs and how much local control you want.

Access and protection

Accounts, HTTPS and sensible permissions

A useful setup includes encrypted web connections, clearly separated user accounts and access rights that match who should see each file or shared folder. A dedicated domain name is required for a valid SSL certificate and a secure HTTPS connection. Stronger sign-in with a YubiKey can also be added where appropriate.

Updates and backups

Keep the service maintainable

Nextcloud, its apps and the underlying server need regular maintenance. A backup should include both the files and the database, with an off-site copy so the service can be recovered after hardware loss or a serious failure.

Practical experience

A service I run and maintain myself.

I run my own Nextcloud on an Ubuntu server, including Collabora Online for office documents and off-site backups at Hetzner.

My phone sends pictures directly to my Nextcloud rather than to Google's cloud. I also synchronise my calendar across devices and integrate it with my desktop calendar and Home Assistant.

That hands-on experience includes the parts people do not see on the login page: server maintenance, updates, user access, backups and recovery planning.

The result should be a service you understand and control, with clear administration and no unnecessary dependence on the person who installed it.
